Administrative Assistant/Office Services Clerk

Bond, Schoeneck & King, PLLC, a law firm of more than 300 attorneys in over 30 practice groups, is accepting applications for a full-time Administrative Assistant/Office Services Clerk in our Buffalo, New York office. The ideal candidate will possess strong organizational and multitasking skills to keep our office running smoothly. This dual-role position blends administrative and facilities support - from assisting attorneys with documents to managing daily mail, supplies, and workspace logistics. This position plays a key part in maintaining an efficient, well-functioning office and supporting the team’s day-to-day operations.
Key Responsibilities:
- Manage daily mail, courier, and facilities functions, including sorting, delivery, and shipping coordination with UPS, FedEx, and USPS.
- Complete copy, print, and scan requests; replace toner and troubleshoot basic equipment issues.
- Maintain logs of service calls and mileage reports.
- Keep conference rooms and common spaces clean, organized, and stocked with supplies, beverages, and catering items.
- Refill printers, coffee stations, and office supply areas.
- Assist with light facilities work such as furniture moves and minor maintenance requests.
- Support new-hire setup (computers, phones, furniture, and supplies) and prepare offices for visiting attorneys.
- Organize storage and file areas, coordinating pickups with offsite vendors as needed.
- Draft, type, distribute, and file correspondence, records, and legal documents efficiently using firm resources.
- Transcribe letters and documents from digital recordings.
- Proofread and edit all work with strong attention to detail and accuracy.
- Enter attorney time into the firm’s accounting system.
- Coordinate workload regularly with the Office Manager and assist teammates as needed.
- Answer and route phone calls, take messages, and schedule appointments.
- Open, close, and maintain files.
- Handle copying, scanning, faxing, and other document-related tasks.
- Reserve conference rooms, maintain calendars, and track deadlines.
- Manage outgoing mail and maintain related logs or billing data.
- Performs other duties as assigned.
Job Requirements:
- High school diploma (or equivalent) and at least two years of related work experience.
- Strong attention to detail, reliability, and a positive, team-focused attitude.
- Ability to manage multiple priorities and maintain confidentiality.
- Must have access to a dependable vehicle.

This position's salary range is between $20 and $24 per hour, negotiable based on years’ experience.
